Receipt Management Software 2026: SmartScan, Dext, and More

Compare receipt capture, expense approvals and accounting exports. Test your existing Expensify workflow before choosing a separate document capture tool.

VERIFIED 2026-06-02

Bottom line

Check the capture and accounting workflow in your existing expense platform before adding a separate product. Dext also supports employee claims and approvals, alongside bookkeeping. Compare actual document limits, retention, exports and current subscription costs; there is no measured OCR benchmark here that proves one tool is best for every receipt type.

Is it right for you?

  • Test OCR accuracy on your most common receipt types before committing to a tool.
  • Confirm it integrates with your accounting software or expense platform.
  • Check whether the tool handles international receipts and currencies.
  • Verify the tool retains receipt images for as long as your audit retention policy requires.
  • Confirm mobile app quality: receipt capture should take under 30 seconds.

Expensify SmartScan: the standard to beat

Expensify SmartScan is the best-known receipt OCR tool. Employees photograph a receipt with the Expensify mobile app. SmartScan reads the merchant name, date, and amount. The expense is created automatically. The employee just needs to add the category and submit.

SmartScan extracts receipt fields within Expensify. Test standard, faded and handwritten receipts against your required fields and review the exceptions; this article has no measured accuracy benchmark. Confirm the scan limits and expense features in your current plan.

If you use Expensify, check whether its receipt capture, approval and accounting workflow meets your needs before adding another product. A separate tool can add cost and duplicate steps, but it can still be justified by requirements the current plan does not cover.

Dext (formerly Receipt Bank): the accountant favorite

Dext is a receipt and invoice capture tool primarily used by accounting firms and bookkeepers. Clients send receipts via email, photo, or direct upload. Dext extracts the data and pushes it to QuickBooks, Xero, or Sage. The accountant then codes and posts the transactions.

Dext can support both bookkeeping and employee claims. Its current expense module accepts mobile submissions, routes approvals and exports the approved data to accounting software for reimbursement. Compare those workflows with Expensify or Ramp rather than excluding Dext from employee expenses.

Dext has business subscriptions as well as practice offerings. The current US business page displays $302.50 billed annually, about $25.21 per month, for 250 monthly documents and five users before tax. Larger allowances and practice plans need a separate comparison.

Hubdoc and AutoEntry for bookkeeping

Hubdoc accepts photographed, uploaded and emailed documents for bookkeeping. Xero retired standard supplier-portal fetch connections in April 2022; that does not imply every direct API connection was removed. Verify the currently supported supplier connection and whether Hubdoc is included in your specific Xero plan.

AutoEntry offers document capture for bookkeeping workflows. Test representative VAT receipts and invoices against the required tax fields and accounting export. This guide has no measured OCR benchmark establishing an accuracy advantage for UK documents.

For most companies that need receipt management as part of employee expense workflows, the built-in capture tools in Expensify or Ramp cover the use case. Standalone receipt tools make more sense for bookkeeping workflows, accountant practices, or companies that need to process high volumes of vendor invoices.

Frequently asked questions

What does Expensify cost, and how is it rated? For eligible new workspaces, Collect is $5 per member monthly. Control is $18 per committed member on an annual subscription, while monthly or additional-member rates can be $36; qualifying card usage can halve those rates [Expensify official billing rules, checked October 12, 2026]. It carries a 4-star Trustpilot rating from roughly 1,100 reviews, with SmartScan (auto-extracting merchant, date, amount from photos) frequently cited as a strength [Trustpilot, 2025].

How does Shoeboxed compare on price and rating? Shoeboxed holds a 4.4/5 rating on both G2 (30 reviews) and Capterra [G2/Capterra, 2025]. Current published monthly prices are $9 for Starter, $29 for Pro, $79 for Plus and $179 for Paper Plus, with different paper and digital scan limits and annual-billing prices [Shoeboxed official site, checked October 12, 2026]; some Capterra reviewers flag it as overpriced relative to competitors [Capterra, 2025].

What does Dext cost? For the US business configuration shown when checked, the annual bill was $302.50 before tax, with an allowance of five users and 250 documents each month. That works out to about $25.21 monthly. Different volumes, billing periods and accounting-practice offerings need their own price check [Dext official expense-management page, October 12, 2026].

Do these receipt tools produce IRS-compliant digital records? An app label does not guarantee compliance. Keep legible supporting documents together with timely records of the required expense details and business purpose, and verify export and retention access. IRS Publication 463 accepts computer-prepared records, but adequacy depends on the evidence and expense type [2025 edition, checked October 12, 2026].

Does the IRS require a receipt for every purchase logged in these apps? No. Publication 463 generally waives documentary evidence for a non-lodging expense below $75. It also has separate qualifying per diem and unavailable-transportation-receipt exceptions, so lodging is not the only relevant distinction [IRS Publication 463, 2025 edition, checked October 12, 2026]. The purchase still needs to be substantiated with amount, date, place, and business purpose. Pairing automated receipt capture with card-level spend controls closes most of the gap, see our virtual credit cards for business guide for that side of the setup.

How can I organize receipts without paying for anything? Photograph each one with your phone as soon as you get it instead of saving the paper, and drop it into a dated folder in free cloud storage. Wave scanning is paid: its US Receipts subscription is $8 monthly or $72 annually per business profile, and scanning is also included in Pro. Manual phone photos and folders can be free, but keep legible records and follow your retention policy. Sort by month rather than by category; categorizing everything is easier to do once at tax time than to maintain folder by folder all year.

What to do next

Most AP and expense tools offer a free trial or demo. We recommend testing 2–3 options with your actual accounting software before committing to an annual contract.
