How we evaluate AP automation software
AP automation covers invoice capture, approval routing, three-way matching, and payment execution. Small-business tools like BILL focus on simplicity and QuickBooks integration. Mid-market platforms like Stampli and Tipalti add AI routing, multi-entity support, and global payment capabilities. Enterprise tools like Coupa and SAP Ariba add procurement and contract management on top of AP.
Our criteria: invoice capture accuracy (OCR quality and exception handling), approval workflow flexibility (rule complexity, escalation paths), payment method coverage (ACH, check, wire, international), ERP integration depth, and user review analysis from G2 and Capterra. We benchmark published pricing where available and note when custom quotes are required.
AP automation for QuickBooks users
Most small-business AP automation tools are built to work with QuickBooks. BILL has the tightest native integration and is the most common pairing for companies on QuickBooks Online. Invoices approved in BILL sync to QuickBooks automatically, and payment records flow back without manual entry. Melio is simpler and free for ACH but has basic approval logic. Expensify and Ramp cover expense and card spend rather than true AP automation.
If you're on QuickBooks Desktop (not Online), the integration landscape is narrower. BILL supports QuickBooks Desktop through a sync tool, but the experience is less seamless than with QBO. AvidXchange and Stampli both work with QuickBooks Desktop for mid-market companies that have not yet moved to cloud accounting.
