Purchase Order Software for Small Business: What You Actually Need Before the Invoice Arrives

Compare Procurify, Precoro, Order.co, and Tradogram with QuickBooks purchase orders, including current plan prices, approval scope, and quote requirements.

Bottom line

Start by testing the PO feature in your existing accounting plan. For additional purchasing controls, compare the required approval, receiving, matching, and integration modules with Procurify, Precoro, Order.co, and Tradogram. Current pricing does not support a universal free Tradogram recommendation or a fixed budget cutoff for Procurify.

Is it right for you?

  • Confirm whether your current accounting software already includes a PO feature (QuickBooks Plus and Advanced do) before paying for a separate tool
  • Check whether approval routing needs to happen at all, one approver only needs a record, not a workflow engine
  • Ask whether the tool supports three-way matching against receipts and invoices, not just PO creation and sending
  • Compare per-user pricing against your actual team size, several tools price by seat and get expensive fast past 5 to 10 users
  • If you are already on BILL or Ramp for AP, test their native PO/procurement module before adding a second system

A purchase order solves a different problem than an invoice does

Most small businesses think about spend control backwards. They wait for a bill to show up, then argue about whether it should be paid. A purchase order flips that sequence. It commits the business to a specific vendor, quantity, and price before anyone spends a dollar, which means the approval conversation happens when it can still change the outcome instead of after the money is already owed.

A PO records the intended purchase before an invoice arrives, while invoice approval checks the later bill. These tasks can live in the same platform: BILL and Ramp have plan-specific purchasing or matching capabilities. Verify request approval, order creation, delivery records, and invoice linkage rather than assuming that AP software only acts after spending.

The real payoff shows up in three-way matching: the system checks that the purchase order, the delivery receipt, and the supplier's invoice all agree on quantity, price, and vendor before the invoice gets paid. Precoro's own documentation on the process describes exactly this: if quantities, prices, and suppliers line up across all three documents, the invoice moves through approval smoothly; if they do not, it gets flagged for someone to review before payment goes out [Precoro, 2026]. That flag is what catches a vendor who quietly raised a unit price, shipped fewer units than ordered, or billed twice for the same delivery.

Small businesses are not immune to this risk just because they are small. Fraud examiners have found that smaller organizations experience billing fraud roughly twice as often as larger ones, in part because they lack the separation of duties and matching controls bigger companies build in by default [Association of Certified Fraud Examiners, cited via Rillion, 2026].

What the main purchase order tools actually cost

Procurify currently uses a modular quote: Purchasing is the starting product, with AP, Expense & Card, and selected add-ons priced for the required setup. Quotes consider products, users, and integrations, and the official page distinguishes unlimited Basic users from priced Pro users. The earlier $1,000-2,000 monthly estimates are not current standard prices and do not establish a five-person-team exclusion.

Precoro lists Core from $499/month and Automation from $999/month, billed annually, with custom Enterprise pricing. Core includes PO and receipt workflows plus two- and three-way matching; intelligent AP automation and advanced integrations depend on the package. These are package starting prices, not a verified $35 per-user rate. Confirm add-ons and included licenses in the quote.

Order.co was formerly Negotiatus, according to its own rebranding announcement. Its PO product describes request approvals, automatic order generation, receiving linkage, and two- and three-way matching. This article has no current official support for the earlier $99 five-user Essentials or $149 Pro figures; request pricing for the actual purchasing and accounting setup.

Tradogram now lists Essentials at $99/month or $950.40/year, with additional-user fees. Premium and Scale require custom quotes. The current pricing page does not list the earlier free one-user, ten-PO plan. Receiving, custom approval routing, and accounting integrations may require a higher package or add-on, so do not treat entry pricing as the full matching-workflow cost.

Do you need dedicated software, or does QuickBooks already cover it

QuickBooks Online includes purchase orders in Plus and Advanced, according to Intuit. You can create and send an order, then connect it to an expense or bill after acceptance. PO availability is separate from the exact approval workflow: verify whether the selected Online plan supports the required routing, and do not apply Desktop Enterprise approval instructions to QuickBooks Online.

Test the existing PO feature with a representative purchase, including who can create, approve, change, and send it. If separate requesters and approvers need controls the current configuration cannot supply, price an additional workflow. Neither a lower-cost label nor a free-plan claim establishes that the added system will pay for itself.

Ramp currently documents creating POs from approved procurement requests, with receiving and invoice connections; it does not categorically lack PO creation. Confirm the procurement add-on, permissions, and accounting connector. BILL matching and ERP features depend on the selected Enterprise configuration. Compare actual approval exceptions before calling either workflow less flexible than a dedicated tool.

Frequently asked questions

What does a purchase order do that an invoice approval process does not? A purchase order locks in the vendor, the quantity, and the price ahead of the spend itself. An invoice approval step, by contrast, only handles a bill once it has arrived, so the money is owed by the time anyone looks at it. The PO moves that decision to a point where a manager can still change it [Precoro, 2026].

Does QuickBooks Online support purchase orders? Yes. Intuit supports this in the Online Advanced edition and in Plus. Establish the needed sign-off process separately: try the available permissions and escalation settings; making an order does not establish a complete approval process.

What does a three-way match check, and why does it matter for a small business? A three-way match lines up three documents (the PO, the goods receipt, and the vendor invoice) and checks that every document agrees on the supplier, the amounts, and the unit prices. Where they do not, the transaction is flagged for a human to review, which is how billing mistakes and fraudulent invoices get caught before any payment is sent [Precoro, 2026].

Are small businesses actually at risk from billing errors or fraud? Yes. ACFE data shows billing fraud hits small organizations at roughly double the rate seen at larger ones, mostly because they have fewer internal controls and less matching in place (ACFE, via Rillion, 2026).

Is there a free PO tool for a tiny operation? The current Tradogram price list starts at $99 monthly for Essentials, with an annual option and separate user or module charges; it does not substantiate the old free ten-order allowance. A PO feature in the accounting package you already pay for may be sufficient. Once your team outgrows a lightweight PO tool, our broader PO software guide covers the full range up through enterprise-grade procurement platforms.

What happens after a purchase order for equipment gets approved? Once the item arrives and the invoice is paid, larger purchases typically move onto the books as a fixed asset rather than an expense, which means depreciation tracking takes over from the PO record. See our fixed asset management software comparison for how QuickBooks and Xero handle that next step.

What to do next

Most AP and expense tools offer a free trial or demo. We recommend testing 2–3 options with your actual accounting software before committing to an annual contract.
