How we evaluate expense management software

Expense management tools split into two models: reimbursement-first (Expensify, Concur, Zoho Expense) and card-first (Ramp, Brex, Divvy). Reimbursement tools handle the traditional flow where employees pay out of pocket and submit reports. Card-first tools issue corporate cards and capture spending at the source, reducing reimbursement cycles.

Our criteria: receipt capture accuracy (OCR quality, mobile app usability), approval workflow flexibility, accounting integration quality (sync speed, error rate), card program terms (credit limit methodology, rewards), and user review analysis from G2 and Capterra. We note when pricing requires a sales call and provide benchmark ranges where available.

Free vs paid: when the corporate card model makes sense

Ramp, Brex, and Divvy offer their software platforms free when you use their corporate card. The card earns interchange revenue that subsidizes the software. This works well for companies that want to issue cards to all employees and centralize spending on one card program. The tradeoff is that you're locked into their card network, and credit limits depend on your cash balance or revenue.

Traditional paid tools like Expensify ($5 to $9/user/month) or SAP Concur (custom pricing) work with whatever card you already use. If you have existing card relationships, want to keep rewards, or need the card-agnostic flexibility for different payment methods across departments, paid tools are often the right call. For most companies under 100 employees, the free card-first tools are compelling enough to switch to.
