What the bank statement cannot tell finance

A statement may show a merchant descriptor, date, and total. It may not show what was purchased, which people attended a meal, why the expense served the business, or whether part of the charge was personal. Add those facts while the purchaser still remembers them.

The IRS says records help a business monitor progress and prepare financial statements and tax returns [IRS, 2026]. The exact evidence and retention period depend on the transaction and applicable rules, so the company policy should identify who decides an exception.

Missing receipt workflow

  1. Ask the merchant for a duplicate.
  2. Save other evidence of the charge.
  3. Require the employee to explain the purpose and missing document.
  4. Send the exception to the designated approver.
  5. Mark whether it was accepted, repaid, or escalated.

A missing-receipt declaration should be an exception, not a routine substitute for collecting documents.

Test the archive before relying on it

Find a receipt by employee, merchant, amount, date, and transaction ID. Export it, verify that the link and image remain usable, and confirm who can access it after an employee leaves. A fast mobile upload does not help if the record becomes detached from the ledger later.
